Minutes 2014 March 1

With 27 members in attendance, President Tom Gerken brought the meeting to order for March 1, 2014.

  • March 8, 2014 – “Why we ride” documentary to be shown at Pat’s Pizza 30 Market Street in the Old Port
    • Dinner at 6:00 PM, presentation begins at 7:00
  • March 15, 2014 – “The 3rd annual swap fest” see announcements
  • April 5, 2014 – BMWRSM monthly meeting at Fair Grounds Café, Topsham Fair Mall, Topsham, 8:30 AM
  • April 23, 2014 – Last day to pre-order “Down East Rally” shirts
  • May 16-18, 2014 – BMWRSM Annual Rally, Hermit Island Campground, Phippsburg, ME
  • May 28, 2014 – For early arrival’s & RSM members “Beemers & Brats” at Richard’s in Brunswick, ME 6:00 PM
  • May 29-31, 2014 – 42nd International BMWRA Rally, Barber Motorsports and Museum, Birmingham, Alabama.
  • June 6, 7, 8… 2014 – Black Fly Rally; Northern New England & Canada
  • July 24-27, 2014 – 2014 International MOA Rally – St. Paul, Minnesota

Announcements:

  • “Third Annual swap fest” Saturday, March 15th. Watch your email or check the web site for details
  • Black Fly Rally is half subscribed. Participants are limited to 20, See Fred for information, you need a passport. If you’re looking to have a good time and a great ride.
  • The BMW R nine T did not make it to Street Cycles this last week

Secretary’s Report   

  • Minutes from February’s meeting are on the web site and copies were distributed. Motioned and seconded with a vote of approval from the membership.

Treasurer’s Report

  • Irene shared the treasures report whereupon, a motion was made, voted upon and approved by the membership;

Membership Report

  • Bob reported as of March 1, the club had 57 members, down 30 from last year.
  • Shawn has updated the website and both membership renewal and rally registration payment can be made using PayPal.

Rally Master

  • Dave reports; so far, there are 50 people registered for the rally. (There are a high percentage of “new” registrants.)
  • Shawn has PayPal up and running.
  • There will be shirts this year. (See the web site for the embroidered design) They will be offered in three styles; Short sleeve, Mock turtleneck and Long sleeve 100% moisture wicking polyester.
  • April 23, will be the last day to pre-order shirts for the rally.
  • Sign up lists for volunteers are now at the monthly meetings.
  • Door Prizes are still needed.
  • Thursday Night before the rally “Slice & Dice” volunteers still needed.

Ride Boss

  • Steve would like to meet with the ride volunteers after next month’s meeting to start planning rides for May and June and to look at options.
  • Ideas for rides; White Mountain ride, New Hampshire Country Store ride, Around Europe Maine ride, Eating destinations, civil war monuments, museum trail.
  •  Ride leaders are needed for the Down east Rally
  • See Fred about the Black Fly Rally – June 6, 7, 8… Northern New England and Canada. Passport required. More information to be posted on the web site.

Old Business

  • Next weekend’s event at Pat’s Pizza, 30 Market Street (in the Old Port) Portland. Pizza, dinner and beverages will be available for purchase. Dinner/pizza at 6:00, Showtime at 7:00. There is a 10 foot screen and the room holds 40-50 people
  • All members are encouraged to bring a friend to the event.
  • Membership
    • Don and the committee asked the membership to approve the expenditure for;
      • Baseball caps with the club logo for new members [50 for $750.00]
      • Brochure/Membership application, contact info to be given to new bike owners at dealerships. [1000 for                 $200.00]

Discussion:

  • Include on the brochure, indicate the type of riders currently in the club.
    • Brochure once printed cannot be changed, include info to drive people to the web site
    • A motion and approval was voted for by the membership present, to get the hats and print the brochures.

New Business

  • Newsletter

A point was raised regarding how the arrival of a newsletter makes the recipient feel connected to the                organization. Should we consider sending out a newsletter to the membership once a month?

  • Email with link to newsletter
  • Passive vs. active approach to the membership.
  • Issue is not value, the issue is, who is going to do it?
  • Shawn may be moving?
  • If above is true, what will the club do for tech expertise?
  • Someone could blog every two weeks.
  • Blogging is difficult
  • Infinity marketing, Google groups, via email
  • Currently have a membership list with email addresses.
  • May need to walk newbie’s through the process to become familiar to access on-line content.
  • Ed will talk to the Vermont Club and how they currently produce their newsletter.
  •  Tom asked the membership for suggestions for meeting locations for the summer monthly meetings.
  • Are there any thoughts for holding a work/tech day?
  • Blood Drive – Don has checked with the Red Cross and the bus used for blood drives is only available the Saturday of Labor Day weekend. The club would sponsor the blood drive with Street Cycles. Volunteers (6-8) would be needed to be at the clubs table during the drive. It was suggested we may want to arrange a date for 2015 earlier in the season to capitalize on new sales traffic in the show room.
